Pop Culture Collaborative: Head of Production, Events and Media

About the Pop Culture Collaborative: The Pop Culture Collaborative (PCC) is a philanthropic resource and funder learning community harnessing the superpowers of pop culture to transform the narrative oceans harming Black and Indigenous people, people of color, immigrants, refugees, and Muslims, especially those who are women, queer, transgender, gender expansive, and/or disabled. 

Role Summary: Reporting to the CEO, and in collaboration with Operations, Storytelling, Innovation, and Program teams, the Head of Production will research, develop, produce and/or oversee the production of the Collaborative’s internal and external events, video/audio productions, and written publications. The Collaborative aims to efficiently gather people with the goal of building community, strengthening networks, and weaving a powerful story of the pop culture narrative change field. The Head of Production holds primary responsibility of ensuring all productions (events and media) reflect and maintain a high caliber of concepting, design, and audience experience that reflects PCC’s brand, overseeing consultants to ensure that each PCC production meets the organization’s standards and achieves a consistent level of production. In the day to day, the Head of Production will also be responsible for budget oversight, team management, and production strategy and management for all live and virtual events; and as externally-facing media projects arise (e.g. video, podcasts, etc.), this role will serve as line producer, final reviewer, and manager of team leaders for each media project.

Program Leadership and Team Management

  • Primary leadership of the Pop Culture Collaborative’s production department, encompassing our event, media, and editorial production workflows. 

  • Develop annual departmental strategy, implementation plan, calendar and roadmap, and budget in collaboration with the Operations team and relevant program teams.

  • Supervise a growing team of staff and consultants, and maintain event planning/management schedule and timeline. 

  • Track and manage line budgets, including approval and reporting of contracts, invoices and expense reporting, and reconciliation of budgets for each event, making adjustments where necessary to ensure that costs do not exceed income

Event Production

  • Primary day-to-day responsibility for the planning and production of the Pop Culture Collaborative’s in-person and virtual events, including developing the annual Events Production strategy, production timeline, hiring plan, and budgets for all events; and serving as lead producer for all external events. 

  • Venue research, contract negotiation, and relationship management, prioritizing ADA accommodations and maintaining PCC brand; and oversight of décor, seating, technical needs, catering, marketing materials (swag), and hospitality

  • Set up RSVP systems for participants & confirm attendees

  • Secure transportation and lodging for event attendees, PCC staff, and speakers

  • Manage vendor relationships to ensure timely payments, track expenses, and cultivate vendors for discounts & preferential services

  • Provide day-of event oversight and support (including registration, vendor management, load-in/load-out)

  • Maintain appropriate event documentation: revenue & expenses, presentations and other details

  • Determine and organize the best approach for each project or production, including selecting a team of consultants based on their experience and expertise in the field

  • Determine the best way to promote a production, including selecting an advertising agency and creating a marketing plan

  • Participate in meeting/event/convening debriefs/reflections

  • Serve as line producer and primary project manager for externally-facing media projects such as videos, podcasts, etc. 

A/V Media and Editorial Production

  • Oversight (but not day to day implementation) of audio/visual (videos, podcasts) and editorial production projects, including supervision of staff and consultant team leaders tasked with developing content, advancing production plans, managing budgets, and implementing distribution strategies.

  • Review and approval of each team lead’s production, workflow, and hiring plans; development and management production budgets; and final content for distribution, 

  • Stay up-to-date with the latest trends, technologies, and techniques in video production, editing, and post-production.

Qualifications

  • Minimum 5-8 years of experience of increasing responsibility and leadership within the entertainment industry, the narrative change field, and/or the philanthropic sector  

  • Experience in the digital, YouTube and Social Media space.

  • Advanced communication skills including written and verbal fluency in the English language

  • Internally we use a number of tools to manage our workflows including Slack, Trello, Concur, Adobe, and large Zoom meetings and webinars. Experience using some or all of these systems is beneficial.

  • Success in this role relies on an expert understanding of the entertainment, narrative change, and social justice fields, and an in-depth knowledge of all aspects of the production process, including pre- and post production. Direct production experience in live and virtual events is essential.

  • Experience working professionally and discreetly with high profile public figures in entertainment, media and social change

  • Strong interpersonal skills and ability to work effectively with diverse groups

  • Self-starter, resourceful, creative, and comfortable working independently with minimal supervision

  • Very strong attention to detail, skilled at managing competing priorities and adept at working fluidly across diverse program areas

  • Strong proven ability to communicate internally with honesty, candor & respect

LOCATION/TRAVEL

The Pop Culture Collaborative is a small team that operates remotely (work from home) from all around the country. While this role is also remote, it will require travel (20%). Los Angeles location preferred, but not required. 

COMPENSATION

This is a salaried position at an annual starting salary range of $120,000 to $140,000. This role is for full-time employment that includes the Collaborative’s benefits package: paid vacation, and sick leave;  standard health, dental, and vision; employer contributions to a 401k retirement account; parental/dependent leave.
